Housekeeping Procedures

Housekeeping Procedures refers to automation's that keep our systems optimized. There are currently 4 procedures which are triggered automatically in our system. They are:

  • Cleanup Procedure For Line Assignments
  • Delete Procedure For Archived Voicemails
  • Delete Procedure For Call Recordings
  • Backup Procedure For Data

Cleanup Procedure For Line Assignments

Every night at 2AM PST an automatic procedure executes on all telephony systems which removes the line assignments of any campaigns which meet the following conditions:

  • The end date of the campaign is in the past.
  • The campaign is completed.
  • The account is out of funds.

Examples:

  • Date is 3/2/2014 but the campaigns end date is 3/1/2014 or earlier.
  • The Amount of Dials Remaining is 0. You find this under the Summary page.
  • Your account is out of funds. If your account is out of funds then ALL line assignments will be removed.

Best Practices for User Friendliness:

  • Make sure the End Date on your campaigns will not be in the past the following day if you want your line assignments to stay.
  • Make sure you have data available the night before.
  • Make sure your account is not out of funds.

Purpose:

The purpose of this housekeeping rule is to make sure that lines get utilized properly throughout the network. It will also remove the need for customers to worry about clearing lines themselves.


Delete Procedure for Archived Voicemails

Every night at 3AM PST our system deletes all .zip files that are older than 90 days from the system. You will find these files under Tools>Voicemails in the Archived VM History section. Below is a screenshot of this section.

Best Practices for Backing up your Voicemails:

If you need to backup archives older than 90 days then you must download your voicemail archives before they mature 90 days.

The purpose of this housekeeping rule is to keep the file systems optimized and easier to migrate.


Delete Procedure For Call Recordings

Every night at 3AM PST our system deletes all .zip files that are older than 30 days from the system. You will find these files under Tools>Call Recordings in the Archive History section. Below is a screenshot of this section.

Best Practices for Backing up your Call Recordings:

If you need to backup archives older than 30 days then you must download your Call Recording archives before they mature 30 days.

The purpose of this housekeeping rule is to keep the file systems optimized and easier to migrate.


Backup Procedure For Data

Every night at 2AM PST our system backs up and deletes all data used in reporting and billing that is older than 32 days. This data gets stored on a backup server. Reports can be requested from Dialtel for data older than 32 days.

Best Practices for Backing up your Data:

If you need to keep your own backups older than 32 days then we suggest downloading the previous months data on the 1st of each month. Depending on your campaign design, you will find some of the below reports when you navigate to Tools>Campaign Reports:

  • Call Transfer Report
  • Voicemail Report
  • All Completed CDR’s
  • Poll Activity Report
  • Call Activity Report
  • Billing Report
