Call Recordings is a sub-link of the Tools link. Call Recordings are where you manage all the activities related to the Live Transfers campaign. Here is a screenshot of the Call Recordings page.
There are 4 subsections of the Call Recordings section. There are Download, Archive History, Search and Global Count.
Download is where you download the Call Recordings you receive on the campaign you are managing.
Archive History is where you access ALL downloads you have previously initiated from the Download subsection for the campaign you are managing.
Search is where you can search for a single telephone number from your Call Recordings on the campaign you are managing.
Global Count is where you get a view of ALL Call Recordings currently stored throughout your campaigns.
There are two sections within Download. They are Scrub Call Recordings Before Downloading (Optional) and Download Call Recordings.
Scrub Call Recordings Before Downloading (Optional) allows you to delete call recordings under a specified size. The available filters are:
- 7 KB
- 10 KB
- 15 KB
- 20 KB
- 25 KB
- 30 KB
- 35 KB
- 40 KB
- 45 KB
- 50 KB
You should not use this option until you are familiar with handling call recordings. Over time you may notice trends. One such trend could be that you never get a lead from files under 25 KB. When you feel comfortable, you can start to scrub the Call Recordings prior to downloading to reduce the workload of processing the dead leads.
Download Call Recordings allows you to choose between two options to download your call recordings. Those options are Download call recordings and delete from server AND Download call recordings without deleting.
Download call recordings and delete from server is the option you should always use. There are a few reasons for this that I will explain in bullets.
- We create an archive for every download anyways.
- Not deleting them will make it harder to track where you left off.
Download call recordings without deleting was an option designed for admins who wanted to pull call recordings to get a feel for how the campaign was performing. The admin wanted to be able to check out the call recordings without interrupting the employees from grabbing them in the order received. Unless you are in this situation, downloading and deleting will be your best option.
This is where we store every call recording that is initiated from the Download subsection. Below is a screenshot showing the Archive History page.
What I have blacked out is the Campaign ID and the IP Address which is part of the file name. The fully formatted name of an archive is:
We section the downloads into time ranges to make it easier to locate the download you are looking for. The available filters, which will display based on available data are:
Older than 30 days - All archives that are older than 30 days.
Last 30 days(excluding last 7 days) - All archives within the last 30 days, excluding the archives in the last 7 days.
Last 7 days(excluding last 3 days) - All archives within the last 7 days, excluding the archives in the last 3 days.
Last 3 days(excluding today) - All archives within the last 3 days, excluding the archives for today.
Today - All archives for today.
The search feature allows you to input a telephone number and find it quickly for the current campaign you are managing. This is useful if you had a conversation that you want to grab quickly, without the need to download all your call recordings. Below is a screenshot showing the Search page.
The Global Count gives you a view of all your call recording counts for ALL campaigns on one page. Below is a screenshot showing the Global Count page.
The ID and Campaign Name were blacked out to protect sensitive information. You can see that the call recording Counts populate for your campaigns. This is useful to track how well a campaign is performing. You can refresh this page and it will update the call recording counts if the campaign(s) are running.
- We delete archives (.zip) that are older than 30 days. Although we have filters automatically appear based on data, the older than 30 days filter will never show anything due to the cleanup procedure.
- We do not delete voicemails (.wav) that have never been downloaded.
- There is a 5 minute delay before a call recording that was received will appear on the site. We code that delay on purpose to prevent data corruption.
